Registration & Refund Policy

1. Admission. The TrailBound Project registration process does not discriminate by color, race, creed, national origin, religion, disability, gender, or sexual orientation, except that events designated as women-only are open only to women. Some events may have a minimum age or fitness level for registration. Participants under 18 must be accompanied by a parent or guardian who is also a paid, registered participant (for women-only events, a mother or female guardian).

2. Registration. Registrations are accepted on a first-come, first-served basis. To complete registration, choose the event, complete the registration form, and pay the registration fee in full.

3. Confirmation. Once registration is completed, a registration confirmation email will be sent, which will include instructions and any required materials for the event. All participants must complete the TrailBound Project waiver before the event starts; participants without a signed waiver can’t take part.

 

4. Waitlist. If an event is already full, you may join the waitlist at no cost. If space becomes available, a registration invitation will be emailed to the first person on the waitlist, who will have 24 hours to register or decline. If that person declines or there is no response or payment within 24 hours, the person's name will be removed from the waitlist, and a registration invitation will be emailed to the next person on the list. If there is a long waitlist, a new event date may be added to accommodate the demand, and everyone on the waitlist will be emailed about the new opportunity.

5. Cancellations, Refunds & Transfers. Plans change — if yours do, the fastest and easiest option is usually a transfer to a different upcoming date rather than a cancellation. Our refund policy also takes into account that it is very difficult to fill a space, and impossible to recover preparatory event costs, for last-minute cancellations, transfers, or no-shows. Keep this in mind when registering, and be sure that you will be available and at an appropriate fitness level before registering.

• Transfers from one event to another may be accommodated up to 5 days before the original event’s start time and are based on availability (except multi-day destination trips; see below). If the new event’s registration fee is more than the original event’s fee, the balance must be paid before registration is complete. If the new event’s registration fee is less than the original event’s fee, the balance will be issued as a TrailBound Project eGift Card.

• Cancellations 30 days or more before an event’s start time are eligible for a TrailBound Project eGift Card for the full amount paid. If you’d prefer a refund to your original payment method instead, minus the payment processing fee (usually about 3%), just let us know when you cancel.

• Cancellations less than 30 days but more than 72 hours from an event’s start time are eligible for a TrailBound Project eGift Card for the full amount paid, but are not eligible for a monetary refund.

• Cancellations made 72 hours or less from an event’s start time forfeit any refund. No-shows forfeit the registration fee.

• Rental add-ons, such as snowshoes or microspikes added during registration, follow the same cancellation terms as the event they were booked with.

• Multi-day destination trips. Multi-day destination trips are paid in full at registration, and we prepay lodging, meals, permits, transportation, and other arrangements well in advance. Those costs can’t be recovered, so the cancellation schedule above does not apply to these trips. Destination trips are one-time events, so transfers to other events are not available. If you cancel your registration for a multi-day destination trip at any time, your registration fee will be refunded only once a replacement participant is found to fill your spot. We’ll list the open spot and let you know if it’s filled. You’re also welcome to find your own replacement, as long as they meet the trip’s requirements and complete registration. If no replacement is found before the trip departs, the registration fee is forfeited. Refunds to your original payment method are issued minus the payment processing fee (usually about 3%), or you may choose a TrailBound Project eGift Card for the full amount paid.

• Nominal registration fees. Some events, such as many of our guided hikes, have a nominal non-refundable registration fee to secure your spot. When an event’s description states that its registration fee is nominal and non-refundable, that fee is not eligible for a refund or a TrailBound Project eGift Card, regardless of when you cancel. The cancellation schedule above does not apply to these events.

There are no exceptions for cancellations or withdrawals made due to personal emergencies, medical emergencies, late arrivals, early departures, or for any other reason — but for most events a transfer to a different date is available up to 5 days out, so reach out, and we’ll get you moved rather than losing your spot.

We reserve the right to reschedule or cancel events due to unforeseen staffing issues, extreme weather emergencies, fewer than the minimum required participants, or for any other reason. Full refunds (or, for multi-day destination trips, refunds of all recoverable costs) will be issued for cancellations such as these, or if you are unable to attend the rescheduled event date.

6. Accommodations. Accommodations for disabilities, medical conditions, or for any other reason must be requested 7 days or more before the start time of an event. If we cannot accommodate your timely request, and this will prevent you from being able to participate, we will cancel your registration and issue a full refund back to the original payment method.

7. Weather. TrailBound Project events are held rain or shine. However, participants will be notified if an event must be rescheduled or cancelled due to an extreme weather emergency.

8. Standards of Behavior & Dismissals. Smoking, alcohol, illegal or recreational drugs, and amplified music are prohibited at TrailBound Project events. Being under the influence of alcohol, illegal drugs, and/or recreational drugs is also prohibited during events. The one exception: when specifically noted on an event page or in a trip info packet, possessing and consuming alcohol is permitted during non-hiking hours, though participants are expected to drink responsibly and remain fit for the next day’s activities. Unless prior permission is granted, or an event specifically requires it, pets are not allowed to be present during events. Service animals are welcome, and we ask that a service animal wear something that visibly identifies it as one, so other participants understand the distinction from a personal pet. All participants are expected to maintain high moral and behavioral standards.

We reserve the right to refuse admission or dismiss a participant if we perceive a physical, mental, emotional, behavioral, or medical concern, if the participant engages in any activity that we perceive to be detrimental to an event, or if the participant presents a safety risk to themself or others.

There are no refunds for dismissals.
